Document Requests

Send and track document collection requests.

Document Requests

Document Requests are collections of documents sent to clients. Each request contains a list of documents and signatures that the client needs to complete.

Creating Document Requests

From a Template

Go to Document Requests

Click New Document Request

Select a client

Review and customize documents (optional)

Add a personal message (optional)

Set a due date (optional)

Click Send

Your client will receive an email with a Secure Link to their portal.

From Scratch

Documents

Each Document Request can have up to 50 documents. Each document has its own status:

PendingWaiting for client to submit
UploadedClient submitted, awaiting review
ApprovedYou approved the submission
RejectedReturned with feedback for re-upload
SignedSignature completed

Managing Document Requests

View Details

Click any request to see:

  • Client information
  • Document status and progress
  • Submitted files
  • Activity timeline
  • Due date and reminders

Review Documents

When a client uploads a document:

  1. Open the request
  2. Click on the document
  3. Preview or download the file
  4. Click Approve or Reject

If rejecting, provide feedback explaining what needs to change.

Request Changes

If a document isn't acceptable:

  1. Click Reject on the document
  2. Enter a reason/feedback
  3. The client is notified and can re-upload

Send Reminders

For pending requests:

  1. Open the request
  2. Click Send Reminder
  3. The client receives a reminder email with their portal link

Reminders can also be automated - see Settings.

When you send a Document Request, the client receives an email with a Secure Link:

Secure, passwordless access

Clients don't need to create an account or remember passwords

Unique per client

Each link is unique to the client and request

Configurable expiry

Default: 7 days. Adjust in your organization settings.

If a client's link expires:

  1. Open the request
  2. Click Resend Link
  3. A new Secure Link is generated and sent
  4. The old link is immediately invalidated

Due Dates

Set due dates to add urgency:

  • Clients see the deadline in their portal
  • You can track overdue requests
  • Automatic reminders can be sent as the deadline approaches

Request Actions

Bulk Actions

Select multiple requests to:

  • Send reminders in bulk
  • Archive multiple requests
  • Export request data

Find requests quickly:

  • Search by client name or request title
  • Filter by status, date range, or assignee
  • Sort by date, status, or client name
